Staff and employees - Attendance App
What we collect
When staff use the Staff Attendance App we collect:

Your name and employee role
Clock-in and clock-out times and dates
Your GPS location at the moment of each clock event
Login credentials (stored in encrypted form - we never store plain-text PINs or passwords)
Why we collect it
Solely for the purpose of recording attendance, managing rotas, and verifying the location of clock events. This data is used internally by authorised managers and administrators only.

Who can see it
Attendance records are accessible only to staff with administrator or superuser authorisation. Data is never sold, shared with, or disclosed to any third party except where required by law.

Location data
GPS location is captured only at the moment of clocking in or out. Location is not tracked continuously and is never shared externally.

How long we keep it
Attendance records are retained for 12 months from the date of recording. When an employee leaves the company their account is deactivated and data is deleted at the end of the retention period.

How we protect your data
All personal data is stored in secure, encrypted databases with access restricted by role-based authentication. We use industry-standard security measures and review our practices regularly.

Your rights
Under UK GDPR you have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data (where no legal obligation requires us to keep it)
Object to or restrict how we process your data
Withdraw consent at any time where processing is based on consent
